Record-linked document archive, versioning, permission-based access and branded print templates.
A document management system (DMS) is software for storing, versioning, searching and sharing company documents digitally based on permissions. Documents scattered across shared folders and email get lost and can end up in unauthorized hands.
In the Eruca ERP Document Management module, every document is linked to its record: the contract to the customer account, the waybill to the order, the balance sheet to the loan application. You don't need to search to find a document; when you open the record, its documents are right there. Each upload is stored as a new version, showing who uploaded it and when. Archiving rules can be defined in line with legal retention periods.
Documents are linked to records such as accounts, orders and applications; no searching required.
Every upload becomes a new version; previous versions and who uploaded them stay visible.
Only users authorized to view the record can open its documents.
Invoices, contracts and forms printed with your corporate templates.
Search inside document content, with tag and type filters.
Sending and archive tracking for e-Invoice and e-Archive documents.
Documents go through an approval process; the version signed with an e-signature is locked.
Retention period, disposal date and archive report by document type.
Each step inherits the previous step's data; nothing is entered twice, and every transition is logged.
Institutions that must keep application, contract and collateral documents audit-ready.
Teams tracking a contract portfolio with version and signature history.
Businesses working with technical drawings, quality certificates and procedure documents.
Companies that must store personnel files in a KVKK-compliant, permission-based way.
A document management system is software where documents are stored digitally, versioned, searched and shared based on permissions. In Eruca ERP, the DMS is not a separate program but a module that works inside every record.
The Turkish Commercial Code requires commercial books and documents to be kept for 10 years, and the Tax Procedure Law (VUK) for 5 years. In practice the longer period usually applies; we recommend determining the right period for each document type with your accountant.
Documents are scanned or uploaded directly in digital form, classified by type and linked to the relevant record. In Eruca ERP, AI can recognize the document type automatically and read the fields inside it.
Documents inherit the permissions of the record they're linked to: if a user can't see the record, they can't see its documents either. Additional restrictions can be defined per document type, and every view is written to the audit trail.
Electronic signatures can be used in document approval flows; the signed version is locked, and later changes are stored as a new version.
