What is procurement software?

Every spend is traceable from request to invoice.

Procurement software manages the process from the moment a need arises until the goods are received and the invoice is paid. When purchasing runs on email and paper forms, requests get lost, approvals are delayed and the same product is bought at different prices.

In the Eruca ERP Procurement module, requisitions are opened with budget and stock levels in view and enter the right approval flow based on amount and category. Supplier quotes are compared side by side, and the approved quote becomes a purchase order. Goods receipt and supplier invoice are three-way matched against the order; any discrepancy is caught before payment.

What it brings to your procurement process
  • No off-budget spend without approval.
  • Quote comparisons are transparent and on record.
  • Orders, goods receipts and invoices match automatically.
  • Supplier performance is measured with data.
  • Approval times shrink, and reminders go out automatically.

FAQ

Frequently asked questions about Procurement

What are the stages of the procurement process?

A typical procurement process consists of identifying the need and raising a request, getting supplier quotes, comparison and approval, the purchase order, goods receipt and quality control, and invoice matching and payment. Eruca ERP tracks all of these stages in a single flow.

How do you set up a purchase approval flow?

Approval rules are defined by amount, category, department and budget status. For example, requests below a certain amount go to the department manager and those above go to the general manager. Rules can be changed without code in the ErucaStudio process designer.

What criteria are used to evaluate suppliers?

On-time delivery rate, price competitiveness, the share of products passing quality control and the number of returns are the most common criteria. Eruca ERP collects this data automatically from transactions and calculates a supplier score.

What is three-way matching?

It is the comparison of the purchase order, the goods receipt and the supplier invoice in terms of quantity and price. If there is a mismatch, the invoice goes to approval before payment.

Can a purchase request be linked to a budget?

Yes. When a request is opened, the remaining budget of the related cost center or project is visible; a budget overrun can require separate approval or the request can be blocked.
